Feature - Added Archive Function to Sales Order Import File Search Window

Some customers have asked how to delete or archive files from the Import Folder for Sales Order Import. This can happen because the import file has invalid information which will require the trading partner to resend.  It is also possible that we don't have the stock to fulfill the order. Users could use Windows Explorer to delete or archive the file to be imported, but this may be risky and users can make mistakes.

Hence, we are creating the option to allow users in the Sales Order Import F7/F8 search files window to move a particular file to the archive folder. To enable this feature, it requires an archive folder to be set up.  In Global Setup, go to Add-ons, Sales Order Import, and populate field 29, Move Imported File To This Archive Folder.



This can now be populated regardless of whether field 28 is Y or N.  Also, if field 28 is N you can leave field 29 blank.

In Sales Order Import, you can use the F7 or F8 keys to search for import files in the specified folder.



The window will appear with a list of files you can select.



The legend at the bottom now indicates the Delete key is active to move the highlighted file to the archive folder.  The archive folder is listed in the legend, or as much so as room will allow.  Once the file is archived, the remaining files are moved up in the window.



If a file with that file name already exists in the archive folder, the new file will have the date and time appended to the file name.

In the above example, file Test01.txt already exists If a file with Test01.txt needs to be moved to this archive folder, its file name will become Test0120230922105809.txt, where 20230922 is the date (09/22/2023) and 105809 is the time (10:58:09) in military time format.

If the file cannot be archived, the message "Archive Unsuccessful" is displayed showing that the archive failed. This can happen, for example, if the source file is being opened by another workstation or process.



Note: The archive is not available if the import folder is pointing to the archive folder.
