Warn Users When Entering COP Orders for Items Below a Certain Margin

Q - In Order Entry a message appears if the sell price is below cost. Can this be changed to a pop-up if it is below a certain margin?

A - We don't have an exact function like this.  But we have something similar for this purpose.  It is called "Item Minimum Price," which is in Item File Maintenance in the second field of "16. Sell/Min Prc."  See sample screen below:


Mass Update Minimum Price

You can Mass Update this field through I/M -> Util-Setup -> Change Existing Item Import. As you can see from the sample screen below, the Minimum Price is the last column of the Item Change CSV layout. You can export your Item Master out to CSV and bring up your spreadsheet.  Decide what minimum margin you would like to have and calculate the minimum price for all applicable items. Once you are done, the final CSV file should have only two columns where column A is item number and column B is the minimum price.  Then you can choose to import and change the minimum price for items in Mass Update.  Since your minimum price is based on margin, and your cost changes constantly, you may need to have a procedure to update the minimum price field periodically (like weekly or monthly).


Receive Warning Message in Order Entry or Sales Desk

Once the Minimum Price field is set up, then during Order Entry or in Sales Desk when the line item price falls below the minimum price, a message will pop up to warn the user that the "Unit Price Below Minimum Price - Is This OK ?"  


Price Below Minimum Price Event

If the user chooses "Y" and enters a line item unit price below the minimum price, the system will also trigger an event where the manager can subscribe and be notified when this happens.  See sample screen below:
